Sending a Quote for Customer Approval

Once a quote is ready, you can send the customer a secure link to review and approve or decline it without signing in — no account, no password. This page covers sending the link, what the customer sees, and what happens when they approve. For building the quote, see Creating & Editing a Quote.

Open the quote and click Send to customer. The quote moves to Sent and a secure approval link appears — click Copy and share it with your customer however you like (email, chat, your CRM). Clicking Send to customer again on a sent quote gives you a fresh link (Resend link).

The link is signed and tied to that one quote. It does not require the customer to log in, and it only ever lets them view that quote — nothing else in your account.

Approvals first. If the quote's discount is over your authority ceiling, it must be approved internally before it can be sent (see the Approval panel on the quote). A held quote can't be sent to a customer until a teammate approves it.

What the customer sees

The link opens a clean, branded page with the quote summary — the line items, any discount, and the total. There's no app navigation and nothing is charged. The customer can:

  • Approve quote — optionally typing their name to sign, then confirming; or

  • Decline — which notifies you that they've passed.

The page records who approved and when. A link that has already been approved or declined can't be acted on again.

What happens on approval

What happens next depends on the quote's processing mode:

  • Route back to Sales (default) — the quote is marked Accepted and comes back to you to process into an order when you're ready.

  • Process automatically — approval immediately turns the quote into an order, using the same commit path you'd use from the console (with the same safeguards: it can't be processed twice, and an over-authority discount still can't slip through).

Either way, approval is recorded on the quote, and you can see its status any time from the Quotes list. If an automatic process can't finish, the quote stays Accepted and the issue is surfaced so your team can follow up — nothing fails silently.
